Position Title: Volunteer and Child Enrollment Specialist Geographic Area: St. Joseph and surrounding Buchanan County Classification: Exempt Reports to: Executive Director Purpose: The primary goals of the Volunteer and Child Enrollment Specialist are to assist prospective volunteers and families during the application process, to assist the program team with recruitment of volunteers and clients, and to make matches. This work will require specific responsibility for ensuring required volunteer application and child enrollment paperwork is complete prior to assignment to a Case Manager. This position will also provide follow-up customer service support to volunteers and families, as well as management of administrative systems during the initial volunteer/ client assessment phase. In addition to these primary accountabilities, the Volunteer and Child Enrollment Specialist will also help tell the BBBS story through introductions and development of relationships with St. Joseph area businesses, community organizations and individuals. Position Qualifications: Bachelor’s degree emphasizing social work, marketing or, communications (or closely related field). Prior work experience involving public speaking, marketing and/or recruiting a plus. Preferred: Non-profit paid professional work experience in the social service or youth development field. Program Specific Skills: Excellent human relations skills, public speaking and communications skills, ability to execute recruitment strategies with minimal supervision is important. Personal Skills: Requires maturity, flexibility, and absolutely must be a phenomenal team player. Must be comfortable working with diverse groups of people and demonstrate an absence of rigid personal bias. Must be comfortable going into the homes of volunteers and families, and must make all parties (Volunteer/ Child/ Parent or Guardian, including perspective participants) feel welcomed. Attitude should reflect fundamental values grounded in service to community, the welfare of children, and the mission of Big Brothers Big Sisters. Accountabilities: • Volunteer and Client Experience: o Ensure volunteers/clients receive highest level of customer service throughout the initial stages of their contact with BBBS o Follow up with dormant inquiries in a timely and consistent manner o Keep volunteers/clients apprised of their status in the screening/ waitlist process • Volunteer and Child Recruitment: o Educate prospective volunteers/clients about the process and experience of being a Big Brother or Big Sister/ having a Big o Organize and conduct 1-on-1 and group volunteer program introductions o Host monthly mandatory Volunteer and Parent Info Sessions o Assist with coordinating agency recruitment events (for volunteers and clients) and attend community and corporate volunteer fairs to talk to prospective Bigs/ Families (Responsible for set-up, staffing and tear down at these events) o Represent agency at events, speaking engagements and media appearances as needed • Volunteer/ Client Processing o Complete volunteer and client home visits o Obtain adult and client therapist referrals as needed o Complete processing for each volunteer and client (references, background check, auto insurance verification, etc.) o Update computer system (AIM/ Match Force) with all data o Complete volunteer and client summary reports o Coordinate and complete “Match Teamings”: Parent/child and volunteer meet for the first time • Other: o Maintain constant interdepartmental communication and best practices regarding program promotion and outreach o Assist with and attend BBBS events, fundraisers, quarterly match activities, monthly staff meetings and trainings, development and marketing as needed/ required o Strive to reach goals set annually by Executive Director relating to growth of the program Benefits and Culture: Big Brothers Big Sisters St. Joseph is a Satellite office of Big Brothers Big Sisters Kansas City.
